Core responsibilities
House Coordination – Primary contact for cleaners, contractors, dog care, and deliveries; track costs and supplies; lock in reliable daily routines.
Calendar & Forward Planning – Own Google Calendar; block focused work, personal recovery windows, board meetings, and travel 4-6 weeks ahead; surface conflicts with solutions.
Travel & Logistics – Build seamless multi-leg itineraries; maintain passports, loyalty programs, and expense reports.
Communication Command Center – Keep all mailboxes tagged, archived, and under agreed limits; draft or triage replies; deliver concise daily summaries and a Friday digest that highlights open items.
Digital & Financial Organizing – Organize Drive folders, track subscriptions, prescriptions, and receipts.
Dog Care – Walk on in-person days; coordinate walkers for the rest; schedule grooming and vet visits.
Growth Scope – As operations hum, take ownership of board-meeting prep and timelines for exhibitions or creative projects—becoming the single point of contact across various ventures.
Success Milestones
30 days
Every drawer, password, and vendor contact is mapped; household schedules and dog-care rota run automatically; mailboxes purged and tagged; calendar accurately reflects real commitments; a rolling dashboard flags all upcoming projects, trips, and board obligations.
60 days
Staff roster, vendor list, and budget tracker operate on autopilot; first flawless multi-leg trip completed; at least one workflow automation or template saves measurable time or money; monthly brief covers budgets, renewals, and deadlines two months out.
90 days
Deliver a 3-to-6 month optimization plan covering home, startup, boards, and creative work; external partners view you as gatekeeper and primary liaison.
